Everlast Group – Streamlining Quotation and Project Management Processes

Everlast Group is a specialist company within the building sector, with a particular focus on roofing based in West Yorkshire, England.

They were established in 1999 and rapidly became one of the UK’s leading specialists in a wide range of construction. Currently they work on more than £50 million worth of projects annually, both in the UK and Europe. Everlast’s success has been achieved by focusing on innovation, applying new thinking and exploring ideas across all construction activities.

Problem

Limited Accessibility: Employees were required to be within the office to access the shared drive containing the necessary spreadsheets. This limited flexibility and slowed down workflow.

Inconsistent Pricing: Employees often struggled to select the correct spreadsheet for each new quote, leading to the potential for incorrect pricing if the wrong document was used.

Inaccurate or Incomplete Information: Due to the nature of copying and pasting from previous quotes, important info was often overlooked or not consistently applied in new quotes, reducing the overall quality and reliability of the estimates.

Essentially, Everlast needed a solution that would allow employees to work more efficiently and ensure that quotations were accurate, up to date and accessible from anywhere.

Solution

GAIN LINE collaborated with Everlast to analyse the existing Excel-based system. We were able to work closely with Everlast to understand the required functionalities such as, how information was entered, stored, retrieved and which processes were critical to the quotation and project management workflow. 

With a comprehensive understanding of the existing system, GAIN LINE were able to develop an online portal that replicated the key functionality of the Excel spreadsheets but added numerous improvements.

Online Access: The new system enabled employees to access quotes and project info from anywhere, offering increased flexibility and productivity for field workers, remote employees, and project employees. 

Real-time Updates: By moving the system online, Everlast could ensure that the most up-to-date pricing and project information was available at all times which prevented common errors that came as a result of outdated spreadsheets or incorrect data. 

Admin Controls: Everlast gained the ability to easily update core data through an admin area, eliminating the need to modify multiple Excel documents manually. This streamlined administrative tasks and improved data consistency.

Results

From the implementation of GAIN LINE’s online system, Everlast were able to reap several immediate positive effects on their operations:
